Responsible for bookkeeping, project tracking, documentation development
and review. Develop reports indictive of financial obligation to
projects. The Administrative Secretary shall maintain all project files
and will create summaries of all correspondence relating to facilities
projects. The individual is responsible for clerical and administrative
support services, prepares bi-weekly and monthly reports, establishes,
maintains and revises recordkeeping and filing systems, and conducts
special projects as assigned. The Facilities Admin Secretary also
oversees department purchases, work orders, and data processing.
Essential Job Duties:
– Schedules meetings, conferences, interviews, appointments and
performs other duties related to Facilities Management
– Establishes, maintains, and revises record-keeping and filing
systems
– Maintains reports in computer files
– Performs a wide variety of assignments which may often be
confidential in nature
– Accurately codes all outside contractor charges or bills and
processes them into the business office in a timely manner
– Supportive in organizing departmental personnel-Scheduling and
reviewing time sheets
– Supports overall departmental operations such as receiving and
delegating work orders, assisting in ordering parts, and maintains a
library on all equipment service, repair, and operator manualsAt
