Saul Ewing is a full-service law firm with 400 lawyers in 18 offices along the East Coast, Florida and the Midwest, to California. The Firm is organized into two departments, Litigation and Transactional, with various practice and industry groups associated with each department. The Firms Practice Management team collaborates with designated partners on the operational leadership of our departments and groups. The Practice Management Coordinator will play an active role in supporting both day-to-day operations and broader strategic initiatives and objectives of the Practice Management team. The Practice Management Coordinator will work closely with all members of the Practice Management team and will report to the Director of Practice Management. The Practice Management Coordinator will also work closely with other administrative departments to provide essential administrative and coordinative support on operational goals. 

 

Essential Functions and Job Responsibilities

– Meeting Coordination: Coordinate meetings and targeted trainings on behalf of departments, groups and the practice management team including:
– Working with appropriate administrative functions across the firm to make meeting arrangements;
– Helping coordinate presenters and presentation materials; 
– Booking vendors, as needed;
– Communicating meeting information to relevant parties; 
– Providing assistance on meeting action items.
– Internal Program/Event Coordination: Assist in the planning and coordination of department, and practice and industry group events to promote teamwork, foster esprit de corps and recognize milestones/accomplishments.
– Process/Project Coordination: Coordinate key operational processes and projects such as: 
– Supporting the implementation of departments and groups annual business planning process, including related data collection/analysis and organization of planning sessions;
– Help coordinate the onboarding and integration of new attorneys, including both laterals and new law school graduates, through standing processes and targeted initiatives.
– Data Management and Quality Control: Assist with the management of enterprise data via spreadsheets and dashboards and prepare reports, as requested. 
– Help ensure codes (i.e., business and law codes) entered by attorneys through firms client intake process are accurate;
– Help prepare trend reports needed by partner leaders and/or Practice Management team.
– Cross-Functional Area Coordination: Partner with peer functional areas (e.g., Marketing, Recruitment, Professional Development, Finance & Accounting, Information Technology, Human Resources) to support business goals as set out by the Director of Practice Management, Litigation Leadership and Transactional Leadership.
– General Attorney and Colleague Liaising: Field and respond to general inquiries from attorneys and staff, and assist with ongoing practice management initiatives.

 

Knowledge or Skills Required 

– Ability to exercise tact and discretion involving sensitive and confidential matters.
– Ability to work independently as well as on a team and collaborate effectively across administrative departments and Practice and Industry Groups in all offices.
– Strong organizational skills and ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, even when under time pressure.
– Ability to clearly and effectively communicate, in oral and written form, with people at all levels within the Firm.
– In-depth understanding of Microsoft Office suite is preferred, with an ability to quickly learn and utilize additional software solutions.
– An approach that demonstrates an “ownership” mentality, flexibility, creativity, initiative, tenacity and a positive attitude.
– Willingness to take initiative on projects and identify opportunities or n vel approaches.

 

Educational and Experience Requirements

– Bachelors Degree or any combination of experience and education that demonstrates the ability to perform the essential functions of the job.
– Legal or other professional services firm management experience preferred.

Physical Demands of Position

– This position operates in a hybrid professional office environment, involving both work-from-home and in-office work, and is primarily a sedentary position. Some duties and responsibilities may require the applicant to lift files, open filing cabinets, bend or stand, reach with arms and hands, climb or balance, occasionally move about to access office equipment, file cabinets, etc.
– This role adheres to the Firms 44 policy which requires you to be in the office on Wednesdays and four additional days each month. 
– Ability to carry or lift items weighing up to 10 pounds.
