Job Description: We are currently seeking an Executive/ Administrative Assistant, Journeyman, to support our Patuxent River, MD Customer.
Functional Description: The Executive Assistant will provide administrative support to the PMA-268 staff and executive leadership, including the PM and Deputy Program Manager (DPM) with assisting and coordinating a variety of administrative activities directly supporting the PMA. The Executive Assistant will regularly interact with senior leadership within the PMA, external stakeholders, and various OEM’s. The Executive Assistant is a high visibility position within the PMA that is fast-paced and demands a high degree of professionalism, polish, and the ability to be the face of the organization. The Executive Assistant will be a member of the Operations Team and will support the daily activities of the Program Office.
Duties and Responsibilities: Duties may include, but are not limited to:
Providing administrative assistance, such as writing and editing e-mails, drafting Naval Correspondence, and preparing executive summaries
Maintain and coordinate calendars and meetings on behalf of the PM and PDPM
Coordinate/schedule/facilitate/attend senior level meetings as required.
Requires a high level of experience with scheduling and coordinating meetings
Ability to adapt and prioritize requirements in a dynamic environment.
Coordinate and Distribute briefs and files for various meetings as required by the PM/PDPM
Coordinating travel (DTS experience required)
PMA Documentation
Expertise with Navy correspondence and Document support (routing, distribution, retrieval, research)
Research instructions, directives, lessons learned, etc.
Experience handling sensitive information
Maintaining PMA-268 Share Drive folders.
Verify clearances and access within DISS and BASICS II
Coordinate visit certifications requests, with various agencies.
High level of proficiency in Microsoft Programs to include Teams, Outlook, and Word, and familiarity with Excel and PowerPoint.
Excellent written and verbal communications skills.
Strong organizational skills and ability to multitask.
Strong interpersonal skills
Required Education:
BA/BS degree
ALLOWABLE SUBSTITUTION: Associate’s Degree plus 4 years’ additional work experience; OR 6 years’ additional work experience may be substituted for a Bachelor’s Degree
Required Experience: 3 to 10 years of combined experience performing duties described in the functional description with at least 2 of those years demonstrating experience using the Defense Travel System (DTS).
Desired Experience: 2 years of experience supporting a NAVAIR program office.
· NAVAIR experience and a current Common Access Card a plus.
Must be able to obtain and maintain a Secret security clearance. Due to the sensitivity of customer-related requirements, U.S. Citizenship is required.
