System Diagnostic Scheduler – System Scheduling and PIE Access – Full Time – Afternoons – Remote

Diagnostic schedulers are the primary conduit to scheduled outpatient diagnostic appointments.
The Diagnostic Schedulers are responsible for scheduling patients for services. This includes
capturing all necessary information to maximize the patient’s experience, ensure safety, and
secure payment.

ACCOUNTABILITIES
All duties listed below are essential unless noted otherwise
1. Demonstrates an excellent level of service aligned with ProMedica’s mission, vision, and
values.
2. Professionally and courteously manages various types of calls from and to patients,
providers, internal team members.
3. Accepts testing orders from physician offices and/or patients to schedule appointments
accurately and completely by following established departmental guidelines, policies, and
protocols. Contacts department when an exception to the scheduling routine is necessary.
4. Gathers all information required and enters information into computer systems including
Epic and OnBase.
5. Provides accurate details of scheduled appointments, along with proper patient
preparations, date, time of exam, and any needed directional information.
6. Facilitates cancellations, reschedules and additions to appointment templates.
7. Coordinates with external departments (general anesthesia, sedation, etc.) as needed to
support appointment scheduling.
8. Is knowledgeable of insurance requirements and federal/state regulations related to
registration, collecting co-pays, deductibles, price estimates, and authorization.
9. Proactively monitors Epic/OnBase work queues.
10. Teamwork – Prioritizes customer needs (patients, providers, members, coworkers) and works
in a collegial manner with teammates to support our customers. Does not abandon the
phones when customers are waiting.
11. Attends mandatory in-services, as scheduled. Stays current with all departmental
communications.
12. Performs other duties as assigned.
Education: High School diploma or GED
Skills: Customer Service, typing/keyboarding of 40 WPM, must pass a basic skills test. Must be able
to understand directions, communicate and respond to inquiries; requires effective interpersonal
skills. Must have basic computer skill and knowledge.
Years of Experience: 2 years’ experience in a professional office environment.

PREFERRED QUALIFICATIONS
Skills: Medical Terminology, Insurance Verification, Customer Service
Years of Experience: 1 year working in a Medical Office Setting.

WORKING CONDITIONS
Physical Demands: Must be able to move about hospital and between workstations. Must be able
to lift medium materials, non-material handling of continuous standing, walking, bending,
stooping, and reaching; frequent pushing, pulling, and squatting. Requires occasional sitting, stairs,
and kneeling.
