The Department Secretary performs secretarial duties, recordkeeping functions, administrative detail and follow-up functions to assist the appropriate administrative/manager in the daily routine and in meeting the administrative needs of the department.

JOB DUTIES AND RESPONSIBILITIES:

Provides secretarial and administrative support to the Department.

Orders supplies and completes purchase requisitions.

Schedules meetings.

Completes charts and/or graphs when necessary.

Creates presentations.

Ability to maintain an organized and orderly environment.

Ability to attend various Meetings and maintain and distribute minutes as required.

Exercise appropriate self-management in the performance of all duties.

Able to organize work time to respond to established priorities when completing projects.

PHYSICAL AND SENSORY REQUIREMENTS:

Must be capable of sitting for up to 4 hours at a time. Bending and reaching as it relates to filing for up to one hour at a time. Must have fine motor skills as it relates to the operation of a computer or other office equipment. Hearing as it relates to normal telephone conversation and possible transcription. Vision as it relates to proofreading typed material and general vision and peripheral vision. Frequently uses hands for typing, filing and running equipment.

EDUCATION:

High School Diploma or equivalent.

TRAINING AND EXPERIENCE:

Previous Secretarial experience required. Computer skills, including Word, Outlook, EXCEL and Power Point required. Office Technology Skills required. Proficiency in telephone skills and excellent Customer Service skills. Proficient in the use of office technology.
