Overview

The Office Assistant is responsible for providing administrative support, managing office operations, and delivering exceptional customer service. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to multitask effectively. The Office Assistant will be the first person to greet employees and guests, so exceptional interpersonal skills are a must.

This role requires a on site schedule to our office in Mclean VA.

Responsibilities

The Office Assistant has many different areas of responsibility.

Daily duties include:

Greeting guests with a warm welcome

Setting up and breaking down conference rooms for meetings

Taking inventory and placing orders for office snacks and refreshments

Sorting mail

Scanning any patient specific mail and sending it to the appropriate team

Supporting the Finance department with FedEx invoicing

Assist with Parking and building / office access

Help the Marketing department with Somatus swag

Support Executive Assistants and office personnel with administrative tasks and on site events

Partner and support IT with the return and processing of employee equipment

Additional responsibilities include supporting the Human Resources department with:

Creating Fed Ex shipping codes for the Human Resources Business Partners

Handling HR general inbox and forwarding requests as appropriate

Resetting of passwords

Processing Teammate return mail (such as 401K Statements and W2)

Supporting the Care email inbox

Assisting with Employee recognition activities and events

Supporting the Talent Acquisition department with onsite interview coordination and room set up

Qualifications

Required Education and Experience

High School Diploma or equivalent

Proven experience in an administrative role or similar position

Knowledge, Skills, and Abilities

Proficient in Microsoft Office Suite (Word, Excel)

Strong organizational skills with the ability to prioritize tasks effectively

Positive attitude and energy

Excellent written and verbal communication skills

Ability to work independently and as part of a team
