Job Title: Technical Support Specialist
Job Description
This position performs a variety of general administrative and secretarial tasks of moderate complexity and scope to relieve Vice President and Managers of administrative details. You will execute or initiate the implementation of administrative practices and procedures determined by, or in conjunction with others. Responsibilities include preparing and checking agendas for meetings, attending staff and/or conference meetings as directed, and preparing the minutes of the meetings as required. You will perform administrative functions required by the Vice President or Managers in the execution of their duties. Based on your knowledge of the business and executive function, you will provide knowledge and assistance to other staff members to ensure smooth operations. Additional duties include filing company information for the Operations department, communicating information between the Vice President and staff members, preparing and coordinating the flow of communication within the Operations department and other departments, arranging conferences, seminars, meetings, and agendas, preparing travel requests, and making transportation and hotel arrangements. You will also have ongoing contact and communication with German counterparts and executive offices, coordinate the completion and maintenance of sensitive data, and act as a liaison between the Vice President and public entities. Finally, you will coordinate the worldwide travel schedule for the Vice President and Managers, manage the Vice President’s calendar, coordinate activities for special ceremonies and events, and prepare presentations as needed.
