GENERAL DESCRIPTION
Performs advanced (senior-level) administrative support or technical program assistance. Work involves coordinating the dissemination of information, developing and maintaining tracking and records management systems, and coordinating internal administrative support work. Provides professional administrative support to supervisors, managers, and directors. May assist in directing or planning operations of the agencys programs. May train and/or supervise office staff. May make policy interpretations and decisions in the absence of the supervisor.
Works under limited supervision with considerable latitude for the use of initiative and independent judgment. May require working in excess of 40 hours per work week.
ESSENTIAL FUNCTIONS
Reviews and processes incoming mail.
Composes, prepares, and edits correspondence, reports, studies, forms, documents, brochures, and manuals to maintain daily operations.
Compiles and ed ts data for spreadsheets, charts, graphs, and databases; and prepares summaries or reports.
Answers and routes incoming phone calls, takes messages, and greets and directs visitors to the appropriate staff.
Responds to inquiries regarding technical program or administrative regulations, policies, and procedures.
Schedules and coordinates supervisors calendar, travel arrangements and reservations, and completes travel reimbursement vouchers.
Maintains an assignment tracking system for the department/facility.
Orders and maintains supplies; assists with general human resources work; and coordinates general office duties.
Develops and maintains records management systems.
Develops administrative and technical policies and procedures.
Performs or assists with conducting the semi-annual inventory of fixed assets.
Assists with the coordination of meetings, conferences, and seminars to ensure meeting schedules are provided to participants.
Assists in the planning and execution of agency programs.
May train and/or supervise the work of other administrative/clerical staff.
Reports any presence or perception of racial, ethnic, and/or gender disparity.
Performs a variety of related duties not listed, to be determined and assigned as needed.
Performs all duties in compliance with agency safety policies and procedures:
Reports safety hazards and corrects hazards when possible.
Completes required documentation in the event of an accident/injury within requested time frames.
Attends work on a regular and predictable schedule in accordance with agency attendance and leave policies.
Qualifications: MINIMUM QUALIFICATIONS
Experience in administrative support, clerical, or general office work in a field relevant to the assignment.
This position is subject to mandatory pre-employment drug testing and any offer of employment is contingent upon results from a drug screen conducted for the agency.
