JOB DESCRIPTION AND POSITION REQUIREMENTS:
Position Summary: Penn State Greater Allegheny seeks an experienced program specialist to provide direct support to the Education Resource Center (ERC) and the grants administered by the center.The ERC provides support to the Pennsylvania Department of Education (PDE) and administers educational programming to external audiences across the Commonwealth. This role involves a range of administrative and project-related activities within the Education Resource Center.
Key Responsibilities:
Data Management and Document Preparation: Perform data entry, document preparation, and organize form submissions. Generate reports using relevant systems associated with the grant.Maintain electronic files and paper records while ensuring confidentiality and security of all records.
Communication and Office Management: Use relevant tools to manage internal and external communications and build relationships with key personnel engage with all program activities.Coordinate office activities, which may include supervising or directing the work of others.
Education Programming, Conference and Workshop Organization: Assist in organizing statewide/regional conferences and workshops. Responsibilities include, communicating with instructional program personnel, maintaining registration forms and records, verifying registration fees, generating registration reports, producing conference materials, invoicing outstanding fees, and monitoring budget.
Technical and Creative Support: Utilize specialized software for tasks such as maintaining databases for student testing data.Oversee creation of forms, flyers, and conference programs using desktop publishing software to ensure materials are compliant and aligned with grant objectives.
Clerical and Financial Support: Provide support to project director, PDE staff, and statewide school personnel. Manage correspondence, and coordinate financial operations, including but not limited to processing transactions using the Simba system, processing registration refunds, travel reimbursements, organizing and generating deposit reports according to University policy, and other financial activities as they relate to grant operations.
Team Collaboration: Actively participate as a team member, contributing to the completion of team and project goals. Provide technical and topical problem resolution for project activities and logistical support to the unit and field.
Qualifications:
Required Experience: Minimum 1 years relevant experience
Preferred Experience: 4 – 6 years of experience in administrative assistant and/or business roles.
Education: Bachelors degree or an equivalent combination of education and experience.
This position requires that you operate a motor vehicle as a part of your job duties. A valid drivers license and successful completion of a motor vehicle records check will be required in addition to standard background checks.

The salary range for this position, including all possible grades is:
$42,100.00 – $61,000.00
