Office Services Assistant

Your Role
The Office Assistant is a part of the Office Services team to support our Morristown office.
What You Will Do
-
Provide a full range of Office Management and maintenance services
-
Prepare, clean, and sanitize workspaces daily, and maintain tidiness throughout the day
-
Maintain the aesthetic integrity of the office by monitoring and tidying (cleaning surfaces, vacuuming, spot cleaning) workspaces, printer areas, pantries, conference rooms, teaming areas, and common areas at all times.

Ordering general office and kitchen supplies

Manage supply budgets
-
Identify and facilitate workspace and building repairs
-
Move and store samples
-
Facilitate seating moves
-
Ensure pleasant aesthetics in lavatories
-
Setup new hire desks
-
Prepare coffee service and monitor regularly
-
Maintain weekly cleanliness and organization of work spaces, office pantries, and food prep stations (refrigerators, etc.)

Facilitate office engagement events by:

Event planning and coordination
-
Ordering catering and supplies
-
Set up and clean-up
-

Work as a team supporting others as needed with projects including:
-
Provide backup coverage to Reception as needed
-
Receive and coordinate last minute deliveries
-
Track and coordinate employee and visitor parking passes
-
Assist with preparation and cleanup of in-office meetings, presentations, client meetings, etc.

Communicate and work in tandem with Studio Coordinators for meetings, cleanups, and tours

Liaise with building management for coordination of invoicing and identify and report issues as needed
-
Other duties as needed, including assisting with mailroom deliveries for respective coverage floor
Your Qualifications
-
Bachelors degree and/or equivalent years of experience required
-
Minimum 5 years experience in Office Services role
-
A polished and professional appearance and manner of conduct

Service-oriented, with excellent interpersonal skills

A pro-active attitude, constantly anticipating office needs

Excellent communication skills, both verbal and written

May regularly lift and carry up to 25 lbs. and move (push mail cart) over 50 lbs

Creative problem-solving

Proficiency in Microsoft Office Suite – Word, Excel, PowerPoint

Strong attention to detail and organized
