Main Function:
Plays a vital role in assuring whole patient care is made available to each patient through referrals, prior authorizations, appointments and services.
Oversees daily operations of managing OR schedule for multiple providers.
Schedules OR cases within the EMR to include the appropriate coding information, staff, equipment and pre-op testing needed.
Schedules pre-op, post-op and imaging appointments within a timely manner either before or after surgery.
Follows up with patient’s care team to obtain required clearances and medication instructions prior to surgery.
Verifies insurance and obtain prior authorizations that are needed prior to surgery.
Communicates with patients to schedule surgery and explain any prep/testing requirements necessary for surgery.
Acts as a liaison between patients, surgeons and OR staff to communicate any questions, concerns or add-on OR cases.
Backs up the Clinical Secretary staff as needed.
Proactively ensures all State and Federal regulatory requirements are met.
Works closely with Provider Billing to assure compliance and maximum reimbursement.

Qualifications:
High School Diploma or GED required.
Associates Degree preferred.
2 to 3 years of previous secretarial/clerical required.
Computer knowledge and skills including but not limited to Outlook and Microsoft Word required.
OR scheduling preferred.
ICD-10 and CPT coding experience preferred.
Experience in a medical office setting preferred.
2 to 3 years of previous OR scheduling experience preferred.
Complexity of Duties:
Performs extremely diverse processes serving the patient and the health system. All processes require close attention to detail to prevent errors. Errors have financial, efficiency and customer service impact, often throughout Thompson Health, as interaction is required with most departments in the health system.
Continuous multi-tasking in addition to focusing on needs of patients, nurses, providers and practice management.
Requires knowledge of multiple insurance policies, administrative requirements, copayments, benefit coverage and their application to multiple patients for multiple scenarios as presented in the Surgery (all ages, all conditions) setting.
Responsible for overall efficiency of patient flow within the office, including patient registration, insurance verification, appointment scheduling, documentation accuracy for billing, electronic medical file maintenance, referral/prior authorization generation, copayment and fee collection, balancing, cash-out process and scheduling all OR procedures.
Assures patient eligibility for insurance, determines and collects copays & maintains electronic medical record documentation in a format to support requirements.
Assures implementation and completion of State and Federal regulatory requirements.
Pay Range: $19.00- $25.00 per hour
