Job Purpose

Act as administrative support for all departments on site, coordinate all office and employee activities to include meeting coordination; purchase office supplies, and production support supplies, maintain professional office environment, official receptionist (greeting visitors and answering phone as needed).

Principal Accountabilities

Purchasing: Serve as primary purchaser for all site office supplies. Responsible for maintaining continuity of office supplies, production support supplies and office condiments. Complete all certification, reconciliation and documentation of credit card and invoice orders.

Office Administration: Serve as primary administrative support to the Delmont facility. Assist Delmont Management with various projects as needed. Primary point of contact for greeting visitors, vendors and customers, answering zero out calls, process outgoing and incoming mail daily. Coordinate all meeting planning for Delmont operations and outside visitors, using internal and external resources as necessary (includes meal coordination and meeting room set-up). Handle vehicle registration, Driver’s License verifications, EZ Pass, and plates for all company vehicles.

Human Resources:

Maintain digital employee training record files to comply with ISO requirements.

Supports HR Manager with interview administration, pre-employment, onboarding, and offboarding processes.

Maintaining electronic and paper employee records processes. Digitalizes all EE files upon termination. Maintains site EEO log for AAP.

Coordinates all site employee appreciation events and activities, to include employee gifts and awards.

Assign and activate badges for site employees. Create all replacement badges as needed.

Tracking and preparing invoices for safety shoes, safety glasses, uniforms, medical appointments, and purchases as well as maintaining voucher status with vendors.

Provides payroll/time and attendance admin support, troubleshoot errors as needed.

Administer site wellness activities and health fair under the direction of the HR Manger

Tracking and processing requests for employee sign on bonuses, and employee referral bonuses.

Maintains employee confidence and protects operations by keeping all human resource information confidential.

Travel: Work with designated travel vendors to coordinate all Domestic and International air travel, hotel accommodations and automobile rentals for Delmont outgoing and incoming travelers. Schedule and oversee all incoming catering, dining reservations and entertainment activities for travel.

Safety: Assist site EHS Specialist with pure safety and Fastenal roster, JSA document control. Create new hire orientation safety document folders and general filling as needed.

IT Duties: Assist Delmont employees and site visitors with site IT. Administer Front Face software and manage Proxyclick visitor system for site. Administer the onsite printers and copy machines, working with the service providers and IT as needed.

Quality: Assist site Quality Manager with Business Excellence System document control. This includes creating new documents from written instructions, making revisions to existing documents, routing documentation for reviews and approvals, managing document storage, preparing training packets and filing training records. Manages secure document destruction according to requirements. Assist with quality related tasks in production, as assigned.

Operations Support:

Monthly reporting consolidation and coordination for site Management

Process all Delmont Manufacturing orders (MO) scanning and other processes as needed

Work Order confirmation for maintenance tech

Preventative maintenance WO generation and hand-off to Maintenance/Production operators

Perform all work procedures according to established Quality Management & Environmental Management Systems.

Perform additional duties as required

Knowledge / Skills / Experience

3 yrs. Prior Administrative Professional or related experience

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Superb verbal and written communication skills

Strong Computer skills; Proficient in MS Office (Excel, Word, Access, PowerPoint), proficient in Adobe

Must be detail oriented and able to manage multiple projects at once

Possess the ability to remain calm under high stress situations

Able to remain flexible and adapt easily to change

ability to work well with all levels of the organization

proven ability to handle highly confidential information

Strong organization and communication skills

Ability to think outside the box

Proven skill at developing internal processes and implementing change

The salary range for this position is $38,830-$53,390. Factors such as scope and responsibilities of the position, candidates work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations may influence base pay offered. This salary will be subject to a geographic adjustment (according to a specific city and state), if an authorization is granted to work outside of the location listed in this posting.
