Position Summary:
Effectively implements the planning, organization and general management of all administrative and clerical aspects of the revenue cycle functions. Works closely with other staff, vendors, and other departments to promote efficiency within the department and ensure adherence to best billing practices. Providing leadership and oversight of employees including trainings, recruiting, interviewing, hiring, performance appraisals, development plans and disciplinary actions. The Manager of Hospital Business Office provides leadership to the Hospital Business Office staff and ensures all functions and staff follow applicable Guthrie policies and procedures, quality standards, contractual obligations and applicable laws and regulations.
Education, License & Cert:
Bachelor’s degree in Business Administration, Finance, Accounting or closely related field is required.
Experience:
Minimum of five (5) years proven practical experience in the field of health care accounts receivable, three (3) of which must have been in a hospital supervisory capacity. Knowledge of revenue cycle and compliance issues required. Must have problem solving ability and strong verbal and written communication skills.
Essential Functions:
1. Organizes and maintains a service‐oriented department by providing leadership, training, and troubleshooting for staff.
2. Support, oversee and manage the performance and productivity of the Hospital Billing Office staff, utilizing pre‐defined goals while providing appropriate feedback and guidance to the billing teams.
3. Optimize billing, revenue collection and direct department operations to ensure that financial and quality goals are met.
4. Responsible for monitoring revenue cycle policies and procedures impacting Medical Records, Registration, and Patient Financial Services.
5. Works in collaboration with other Guthrie Managers and departments to coordinate and ensure proper flow of information to accurately and expediently bill third party payors and patients. As well as, to resolve billing issues and effectively communicate recommendations to avoid recurrence of future rejections, denials or errors.
6. Ensure that supervisors and insurance coordinators provide timely feedback to department staff regarding people performance, quality, training requirements and implementation of action plans where performance is not meeting expectations. Recognize areas of excellence with staff.
7. Participates in the development of department budgets and ensures that department operation objectives are achieved within budget.
8. Work in coordination with the Business Office Director on the establishment and implementation of KPIs for Hospital Billing Office operations.
9. Serve as The Guthrie Clinic subject matter expert for Hospital Billing Office functions and actively research and understand latest industry and market Hospital Billing Office trends, leading practices and technologies.
10. Under the direction of the Sr Director, Patient Financial Services performs audits to ensure documentation supports charge codes submitted to third party payors.
11. Completes annual employee performance evaluations.
12. Committed to quality customer service, which include employee satisfaction.
Other Duties:
1. Answers phone calls and correspondence providing requested information to aid in the resolution of account balances.
2. Maintains knowledge and performs within the compliance of Guthrie Medical Group, the Guthrie Clinic, federal, state and payer guidelines and contracts.
3. Provides feedback related to workflow processes in order to promote efficiency.
4. Utilizes Epic system functions accurately to perform assigned tasks.
Example: Charge corrections, invoice inquiry, credits, charge review, claim edit, 277 rejections, etc. Trains staff on same as needed.
5. Demonstrates excellent customer service skills for both internal and external customers while promoting the same in the team environment.
6. Maintains strict confidentiality related to patient health information in accordance with HIPAA compliance.
7. Assists with and completes projects.
8. Other duties as assigned.
