Support our employees at our Reception and Shipping & Receiving team, located at our Severn, MD location. Be front and center to all incoming employees, visitors, VIPs, foreign nationals and aid all levels of leadership. In addition to aiding and ensuring the accuracy of procurement, shipping, and receiving product, supplies and parts for our wide variety of teams located in Severn, MD. Be the person that everyone relies on to ensure day-to-day operations run smoothly and safely.
Responsibilities:
Provide daily coverage of reception desk and shipping and receiving area.
Greet all visitors with a helpful and friendly demeanor and follow proper security procedures for employees, non-employees, and Foreign Nationals.
Assist in the organization/creation of moral boosting events for the employees of the facility.
Perform office functions such as fielding calls and making proper referrals; checking voicemails and distributing or responding; primary point of contact for all meetings and conferences taking place in facility, to include ordering catering services.
Oversee and manage online conference room schedule, resolve any schedule conflicts in a timely and proactive fashion.
Receive and process all incoming mail/deliveries to the facility.
Provides data and information to others on functional unit processes and procedures.
Escort visitors/vendors at the facility as needed.
Monitor, order, and restock coffee and kitchen supplies. Run and unload dishwasher.
Checks incoming and outgoing shipments and associated paperwork for accuracy and enters ERP.
Provide document control services. Organize and maintain document accountability records, destroying material when no longer required. Maintain a neat and orderly work area.
Prioritizes tasks including outbound orders, incoming distribution, inventory, maintaining shipping inventory and associated duties.
Routinely researches freight and supply companies to ensure TI is receiving best possible prices, quality and delivery timelines.
Supports DCMA and Quality audits.
Participates in and/ or manages special projects as required.
Work may involve sitting or standing for extended periods of time.
Positions may require filing, typing and reading from a computer screen.
Must have sufficient mobility, included but not limited to bending, reaching, turning and kneeling to complete daily duties in a timely and efficient manner.
There is a possibility that due to parking availability and location of work, walking moderate to long distances may be required.
Must be able to lift and/or move up to 50lbs.
General office equipment, which includes telephone, fax machine, copier, PC/laptop, and other miscellaneous office equipment.
Microsoft Office Suite of products to include Project.
Work assignments dependent on requirements by the client. It is important to be able to work at least 8 hours a day for 5 days per week (Monday through Friday).
Regular attendance of scheduled hours is extremely important, but not critical, except for deadlines and meetings.
Punctuality and regular attendance are necessary to meet deadlines. Must exhibit flexibility to work hours to adjust to surge situations base on critical mission requirements.
United States Citizenship.
HS diploma or GED equivalent.
Strong oral and written communications skills applicable to both one-on-one settings, and group settings.
Demonstrate key competencies in the areas of communication, planning and organizing, flexibility and adaptability, customer service, problem assessment and problem solving, attention to detail, and teamwork.
Ability to function independently and multi-task.
Ability to exercise sound judgement with strong attention to detail.
Ability to ensure all work instructions and procedures are followed.
Thorough working knowledge of Microsoft Office Suite: Word, Excel, Outlook, PowerPoint, Teams, and Share Point.
Excellent interpersonal skills, project coordination experience, and experience showing the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Experience in distribution and warehousing or administrative experience.
Experience with PeopleSoft Purchasing System.
Knowing of shipping and receiving procedures and practices.
Experience in a manufacturing/production environment with quality control procedures.
