Job Title Student Assistant (Texas CPM Program Assistant)

General Description

This is a student position responsible for assisting in the operations and activities of a department or a departmental project, program, or function. This specific position performs administrative assistant duties for the Texas Certified Public Manager ( CPM ) program.

Job Duties

1. Assists with the scheduling of CPM classes and notifies participants.

2. Ensures classrooms/venues, equipment, catering arrangements, and other requirements are scheduled or canceled in advance.

3. Handles set up/clean up before and after a class.

4. Sends appropriate pre-class information to participants in advance of training courses.

5. Sends invoices.

6. Sends parking permits to participants.

7. Sends CPM Friday class schedule ahead of the class date.

8. Prints training support materials/handouts for training courses and assists with the creation or formatting of materials/handouts.

9. Distributes course evaluation (feedback) questionnaires following classes and compiles/communicates feedback to the program director.

10. Records all participants’ training attendance.

11. Keeps a record of all participants’ tracks taken/completed.

12. Keeps records and files up to date, filing forms within a shared network drive environment.

13. Compiles and organizes CPM payment deposits and records of payment.

14. Collects, grades, and records homework from participants.

15. Generates track completion certificates for participants.

16. Oversees the lunch order for CPM Friday classes.

17. Orders stickers for each track at the Graphic Shop.

18. Follows procurement card regulations (i.e., keep track of and scan receipts, keep card secure, make sure of tax exemption when making purchases).

19. Provides general administrative support for the program director, trainers, faculty, and practitioners.

20. Manages and maintains social media sites (Facebook and LinkedIn).

21. Assists in the delivery of class instruction at a fundamental/administrative level when assigned.

22. Performs other related duties as assigned.

Required Knowledge, Skills, and Abilities

The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

2. Knowledge of cloud-based file systems.

3. Skill in data entry.

13. Ability to support a productive office atmosphere.

Required Qualifications

The minimum education required for admittance as a student at Stephen F. Austin State University.

No direct experience is required. Training and instruction will be provided.

Students must have a 2.3 GPA or higher (cumulative & current).

Special Conditions for Eligibility

A student must be enrolled in six or more semester hours to be eligible for student employment during the fall or spring semesters. To be eligible for student employment during the summer, a student must be enrolled in three or more semester hours or be registered for courses in the upcoming fall semester.

Student assistants may not hold any other type of position such as a graduate assistantship or temporary casual employment at the same time that they are employed as a student assistant.
