This opportunity is for a Secretary to perform clerical functions and a variety of document processing for the Bedford Clinical Services Unit (CSU).  This position facilitates doctors workdays, schedules appointments, answers phone calls, takes payments, prepares letters, completes registration for new consumers, scans documents, and performs other office duties.

DESCRIPTION OF WORK
This position performs clerical functions and a variety of document processing activities in the Bedford Clinical Services Unit (CSU). Facilitate doctors workdays as scheduled. Schedule new doctor appointments, handle cancellations, and reschedule appointments. Handle medication-related information. Review and ensure that consumer Electronic Health Record (EHR) charts contain current consent forms, Releases of Information (ROI), and up-to-date treatment plans. Assist in preparing paperwork for referrals to the CSU or other agency providers as needed. Print the daily doctor schedule. Verify consumer demographics and contact information in the EHR. Take payments via cash, check, or credit card. Prepare documents and/or letters to be mailed to primary care physicians, specialists, other providers, etc. Answer calls for the doctors, nurses, clinical director, and therapists, and redirect the calls or take messages for the appropriate staff. Make reminder calls each day for psychiatric patients and psychotherapy clients. Screen calls and determine when to report problems to the doctor and/or therapist. Screen calls from consumers regarding medications. Serve as a receptionist, greeting clients and visitors. Complete Fast Track Registration for new consumers. Meet with consumers to check insurances, start the intake process, sign ROIs and consent to treatment forms, and review privacy practices and voter registration forms. Perform general office duties and generate documents, which may include discharge letters, various computerized reports and spreadsheets, taking reports from dictated sources, handwritten drafts, and/or original source documents. Copy correspondence and distribute it to individuals both inside and outside of the agency.  Scan and upload correspondence, reports, etc. into the EHR. Route treatment plans for required signatures. Assist in training interns and new employees to familiarize them with the OP department, the EHR, etc., and provide training on various tasks when requested. Work with consumers, case management staff, therapeutic staff, nurses, and physicians to ensure transfers to appropriate services. Use the Evolv/NetSmart EHR system to look up demographic information, insurance, financial data, etc. Type correspondence, verify insurance information, and ensure completion of insurance authorization forms. Assist outpatient nurses with management of appointments, which includes but is not limited to scheduling patients, faxing of documents, compiling of reports, collection of information, requesting medical records, completion of ROIs, completing pre-authorizations/reauthorizations, coordination of medication requests and/or distribution of received prescriptions, completing and distributing doctor/nurse calendars, etc. Provide backup coverage to receptionists as needed. Answer telephone calls and re-direct calls to appropriate departments. Provide backup coverage for other medical secretaries on an as-needed basis. Assist other medical secretaries with related duties. Perform other related duties as assigned.

Work Schedule and Additional Information:
Full-time e ployment
Work hours are 8:00 AM to 4:00 PM, Monday – Friday, with a 30-minute lunch. You may be expected to work irregular hours, including evenings, weekends, and holidays.
On occasion, staff may need to work hours outside of the set work week to complete projects, meet work demands or in the event of an emergency.

  REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:
Six months as a Clerk 1 and educational development to the level of the eighth grade; or
Completion of a high school business curriculum; or
Any equivalent experience and/or training which provided the required knowledge and abilities.

You must pass a background investigation.
This position falls under the provisions of the Older Adult Protective Services Act.
Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to, PA State Police and FBI clearance.
