Job Description:

The Front Desk Coordinator serves as the welcoming face of the organization, handling reception and various administrative tasks. Responsibilities include travel coordination, office supply management, executive credit card reconciliation, catering, and maintaining the internal company website. This role also supports administrative process improvements, and company events, and collaborates with Administrative Assistants, Executive Assistants, and Managers to achieve corporate goals.

Provide on-site reception services

Deliver exceptional service with a professional, friendly, and helpful demeanor to all clients, visitors, and staff in person, over the phone, and in written communication.

Assist staff with travel arrangements, including domestic and international bookings, and manage on-site guest arrangements.

Order catering for on-site events and meetings, and assist the Facilities team with setup and cleanup of conference spaces.

Manage corporate mail, front desk deliveries, and faxes, and prepare outgoing mail using a postage meter. Maintain and order supplies for the postage meter.

Organize seating charts and office supply room, and place orders for office supplies.

Reconcile credit card statements for Central Services and assist with executive credit card expense reports.

Perform additional duties as assigned.

Qualifications:

Professional and inviting personality with superior customer service skills.

Excellent verbal and written communication skills.

Ability to handle a wide range of administrative support duties, including highly confidential tasks, with professionalism.

Maintain focus and composure with frequent interruptions.

Creative problem-solving skills, organizational abilities, and effective collaboration with all employees.

Proficiency in MS Office software, including word processing, spreadsheets, and Outlook.

High school diploma or GED

Work Site:

This is a fully on-site position in Wilsonville, Oregon.
