Description
Johnson & Johnson is currently seeking a Senior Administrative Assistant to join our Johnson & Johnson Innovative Medicine Supply Chain organization located in Wilson, North Carolina (not remote).
This role may require periods of increased travel to support startup activities based on functional needs and project timelines. In some cases, this could involve frequent travel and/or short-term stays with vendors, sister companies, or partners. In steady state, we expect travel to be <10%.
J&J is expanding our manufacturing capacity with $2 billion investment to support strong portfolio growth and continue delivering breakthrough innovation and transformational medicines for patients. The new facility will expand production of innovative biologic medicines in areas including oncology, immunology, and neuroscience. Join Johnson & Johnson as an Administrative Assistant to the site General Manager and have a crucial role in providing outstanding administrative support to our General Manager and their broader team. Your main responsibilities will involve ensuring the seamless completion of administrative tasks and collaborating with various individuals and entities, both internally and externally. Key Responsibilities
Provide technical administrative support and facilitate communication for the General Manager and their team.
Oversee departmental oversight, including headcount tracking, budget management, and purchase order management.
Act as a resource for communications and correspondence, expense and invoice processing, schedule and travel management, organization of internal/external meetings, conference management, contractor management, procurement, and special projects.
Construct and prepare communication and presentation pieces.
Coordinate, develop, and analyze projects, providing monthly summaries of Program Management activities.
Serve as liaison as designated with community groups and organizations to help support and create strong local community ties.
Perform other related duties as assigned by management.
Qualifications
Required:
High School Degree
A minimum of 4 years of administrative experience supporting director-level or higher executives, preferably within a highly matrixed organization.
Proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint, Teams).
Experience with travel and group logistics planning.
Ability to anticipate stakeholder needs without direct instruction and proactively address them.
Strong team player with the ability to coordinate effectively with staff.
Excellent interpersonal skills, attention to detail, and the ability to exercise discretion and sound judgment.
Exceptional verbal and written communication skills.
Strong analytical, problem-solving, organizational, and prioritization abilities.
Self-motivated with the ability to work independently and with minimal supervision.
Preferred:
Proficiency in J&J systems and portals (Concur, AMEX Travel, Summit, AskGS, IRIS, Zoom).
Administrative technical education or certification, or an Associates degree.
Experience coordinating events.
Technical skills in accounting/budgeting, department-specific courses, administrative support certification, time management, and video conferencing.
Current Notary Public certification.
Experience in communications.
This position is overtime eligible.
