THE OPPORTUNITY
The Office Administrator is responsible for maintaining smooth office
operations, office activities and services. This role involves managing
office supplies, handling administrative requests, and supporting staff.
This position will also be involved in HR-related tasks as needed. They will
be self-motivated and trustworthy.
CORE RESPONSIBILITIES
Office Administrator:
Oversee and support all administrative duties in the office.
Ensure the office operates smoothly; maintain tidiness and provisions
including kitchen and shared spaces.
Manage office supplies, inventory, and place orders as necessary.
Greet visitors and direct them to the appropriate personnel.
Handle inquiries and provide information as needed.
Develop and maintain files, both physical and digital.
Provide data entry to create documents, spread sheets, org charts,
and more as necessary.
Coordinate meetings and arrange hotel and travel bookings.
Process incoming and outgoing mail.
Source vendors for onsite meetings and offsite conferences.
Maintain updates of SharePoint website and maintain Team Outlook calendar.
Maintain and operate office equipment (computer, multi-line phone,
printer, copier, facsimile).
Run errands as needed this may include grocers, office
retailers, USPS, FedEx, and accountants office (use of personal
vehicle with reimbursement for mileage).
QUALIFICATIONS
Associates degree or equivalent experience in a business-related field.
Excellent organizational and time-management skills.
Strong attention to detail and accuracy.
Proficiency in Microsoft Office Suite, particularly Excel.
Excellent communication and interpersonal skills.
Ability to handle sensitive and confidential information, breach of
confidentiality may result in termination.
Reliable transportation.
Ability to sit for prolonged periods.
Ability to use a computer and other office equipment.
Ability to occasionally lift and/or carry up to 15 pounds.
