Job Description

Supports all major purchasing duties and responsibilities

under Purchasing Manager. Hands off deliverables and collaborates with the

receiving team as directed by Purchasing Manager. Assists in the preparation of

analytical reports, either directly or through covering purchase order workload

intermittently. Supports weekly and monthly system maintenance by managing open

purchase orders, compiling lists of items that need fixes for IT, closes out

old purchase orders, monitors sunset items, to prepare for inactivation, etc.

Assists with inventory counts and occasional deliveries during times of high

volume.

ESSENTIAL FUNCTIONS:

• Prepares and processes purchase orders and requisitions

for materials, supplies and equipment.

• Assists in preparation of daily, weekly, and monthly

reports used by purchasing departments as well as internal customers, and

management.

• Proactively monitors open purchase orders to ensure

vendors meet expected timelines and delivery schedules.

• Communicate to internal and external stakeholders out of

stock items and recovery timelines.

• Gather and maintain incoming invoices in preparation for

purchase order updates and item receipts.

• Assist with sourcing and gathering product, vendor, and

transportation data.

• Supports cross functional collaboration by preparing

various spreadsheets for S&OP meetings and correspondence.

• Assisting the Supply Chain Manager with maintaining

inventory levels and materials on a regular basis.

• Effectively communicating with the management team to

ensure all orders are accurate.

• Working within the management team to ensure that all

deliveries satisfy the assigned orders and report any back ordered or missing

products.

• Assesses current material availability; reasonably

predicts future availability based on the market, delivery systems, and other

variables.

• Prepares and presents market conditions and merchandise

cost reports.

• Evaluates and approves conditions for issuing and awarding

bids.

• Resolves grievances with vendors, contractors, and

suppliers.

• Maintains and/or implements purchasing and recordkeeping

systems.

• Acts as the Company’s representative in negotiations with

suppliers.

• Coordinates removal or disposal of surplus materials.

• Administers the departmental budget.

• Authorize payment for purchases by forwarding receiving

documentation.

• Keep information accessible by sorting and filing

documents.

• Provide purchasing planning and control information by

collecting, analyzing, and summarizing data and trends.

• Evaluate vendors based on price, reliability, capability,

and previous transaction history.

• Work with vendors to negotiate volume, cash transaction,

and other available discounts.

• Ensure that purchasing documents are complete and accurate

and include appropriate and reasonable terms and conditions.

• Maintain pricing histories and other vendor records.

• Experience with Logistics, Inventory Management,

Procurement

• Strong analytical and problem-solving skills.

• Strong supervisory and leadership skills with the ability

to effectively train others.

• Ability to prioritize tasks and to delegate them when

appropriate.

• Understanding of business and management principles.

• Thorough understanding of materials and supplies used in

the Company.

• Proficient with Microsoft Office Suite or related

software.

• Proficient with ERP system such us Oracle Net Suite or

SAP.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

• Bachelor’s degree in business, Logistics, Supply Chain

Management, Management Information Systems, or related field preferred

• At least four (4) years of prior purchasing experience

required.

• Knowledge and training in Supply Chain Management

• Demonstrated proficiency in Excel.

• Knowledge of niche market trends

• Strong problem-solving skills – must be able to

investigate purchasing, receiving, billing, & inventory discrepancies

effectively with little or no help

• Must be able to function in a stressful environment, under

multiple deadlines, and be able to effectively prioritize tasks and projects

proactively and independently.
