Job Title: Social Services Associate

Summary

Social Services Associates provide comprehensive administrative support remotely to contract SAIL case managers, SAIL supervisors, remote non-medical counselors, and clients, ensuring clients receive timely, efficient, and effective services.

Essential Duties and Responsibilities

Maintain current schedules of staff providing individual appointments. Utilize FFSMIS to view case managers’ and non-medical counselors’ schedules to make client appointments and send reminders to confirm appointments.

Obtain and validate information on the SAIL referrals: research the location of a ship/Sailor and locate the correct Point of Contact; ensures the accuracy of the information received and completes the Sailor’s demographics in FFSMIS.

Receive command and non-command referrals and make an introductory contact to referred sailors to provide information about the SAIL program.

Complete documentation in the FFSMIS SAIL record system.

Schedule customers for SAIL initial assessments and non-medical counseling appointments.

Ensure initial paperwork is forwarded to clients and follow up to ensure signatures are complete and paperwork is returned, and all related documents are uploaded to the appropriate client case record.

Manage daily scheduling to ensure that clients are notified of unscheduled staff absences as soon as possible, and that appointments are rescheduled at client’s request in a timely manner.

Maintain direct service metrics for all staff for whom scheduling services are provided.

Provide a variety of Contract SAIL administrative support functions, such as scheduling data entry, attending coordination meetings and taking minutes for government representatives in attendance, scheduling appointments for SAIL Case Managers, SAIL Case Manager Supervisors and Contract Virtual SAIL Clinical Counselors, screening and connecting potentially distraught or difficult callers to a SAIL Case Manager, SAIL Case Manager Supervisor or Virtual SAIL Clinical Counselor, and maintaining referral and community directories.

Develop and maintain Command POCs contact information by installation. Update directories of referrals and community resource information for each installation within the assigned area of responsibility at least annually, per Navy Certification Standards.

Knowledge of how to respond well in pressured, crisis situations.

Supervisory Responsibilities

This job has no supervisory responsibilities.

Required Education and/or Experience Qualifications

Must be physically located within a 100-mile commuting distance of a Navy installation in the assigned area of responsibility.

Successful completion of a full 4-year course of study in human services or related field leading to a bachelor’s degree, from an accredited college or university, or equivalent combination of education and specialized experience in human services, social sciences, or related field.

Two years demonstrated experience providing administrative support to a medical or other social services office

Excellent facility with computer and office automation software

Ability to respond will in crisis situations.

Excellent customer service skills

Ability to communicate orally and in writing

Preferred Qualifications

Knowledge of counseling terms as they apply to levels of care/treatment and ability to make appropriate dispositions independently

Ability to use comprehensive scheduling program to serve multiple locations

Personal or professional experience with Navy quality of life programs

Other Skills and Abilities

This position requires access to U.S. Government facilities and systems. U.S. Citizenship, a valid drivers license, transportation, and auto insurance are required.

Physical Demands: Works in home office area. Sits, stands, bends, lifts, and moves intermittently during working hours. Uses personal computer, telephones, printers and other office equipment. The employee must occasionally lift and/or move up to 10 pounds.

Pay Rate: $51,000 – $75,700
