Under the direction of the program manager, Senior Associates are responsible for coordination and implementation activities through the projects lifecycle. Senior Associates are responsible for creating and developing all the applicable program documents and reports and participate in client meetings. Senior Associates work closely with Project sponsor and/or subrecipients and provide reporting oversight needed to internal and external clients.

- Define project scopes and objectives.
- Prepare project plans, including workflows, detailed schedules, procedures, and any other tools necessary in the development and implementation of day-to-day project tasks.
- Ensure programs and projects meet Green Building Standards requirements.
- Review invoices and progress reports.
- Identify and manage project risks and opportunities.
- Produce all required projects reports.
- Hold regular status and progress report meetings with client.
- Organize monthly report supporting documents.
- Provide the client with engagement and outreach materials, presentations, and talking points regarding the program.
- Support response to Monitoring and Audits process for federal and local regulatory bodies.
- Develop, organize, monitor, and maintain detailed Programs document files on different digital platforms.
- Draft, format and file notifications, letters, memos, and all required meeting documents (agendas, meeting summaries, sign-in sheets).
- Keep records of every document sent to and received from the federal entities.
- Assist in the preparation of regularly scheduled reports
- Conduct data entry, maintain computer and manual filing systems

Required education and experience
- Bachelors degree in project management, engineering, architecture, planning, business administration, finance, or related field
- Five (5) year of relevant experience in: emergency management, disaster recovery, mitigation, mitigation, federally funded programs
- Knowledge of building construction methods, materials and building design.
- Knowledge of building codes and minimum housing codes.
- Fully Bilingual (English & Spanish)
- Excellent communication, writing and organizational skills
Preferred education and experience
- Knowledge in project management software tools, methodologies, and best practices. Proficiency in the basic MS Office tools including Excel, Power Point as well as Visio & Smartsheet.
- Experience with cost estimating tools such as Xactimate, and mapping tools such as GIS, is highly desired.
